Application What if my descriptions, agenda, budget, etc. do not fit into the allotted space?
You will have the opportunity to upload supporting documentation at the end of the Grant Request Form.

What is a request for Additional Information and how much time do I have for completion?
A request for Additional Information is made when more information is needed to consider your grant request. The request will be sent via email. IMED will follow-up on the original request via email after 10 business days. If IMED has not received all necessary information within 10 business days of the follow-up request, the grant request will be closed.

Can I complete part of the online grant request and come back to it later?
Yes. If you are unable to complete your grant request in one sitting, you may save the request and come back to it later. At any time before the submission of a grant request, you will have the opportunity to come back and make changes to the request.

How do I submit a signed W-9?
There are several ways to submit your signed W-9 form.

  • If you already have a PDF version of the signed W-9, simply upload the file when you register where indicated in the Grant Management Application (GMA).
  • If you have a scanner, you can print the W-9 form, sign it, scan it into your system and then upload the scanned document when you register where indicated in the GMA.
  • If you do not have a scanner, please fax a signed copy of the W-9 form to IMED at (866) 301-8891 and a Grants Coordinator will upload the form into your registration page for you.

What do you mean by having an opt-in process for enduring materials?
Genentech maintains specific guidelines regarding the manner in which enduring materials supported by a grant for independent medical education are distributed to healthcare professionals.  Genentech cannot support the dissemination of enduring materials directly to intended recipients who have not specifically requested the enduring materials.

After the Decision Can I call for additional details as to why my grant was denied?
Yes. The Grant Manager's name and contact information is included at the bottom of your decision letter. Please feel free to contact the Grant Manager directly with any questions regarding the decision. Alternatively, you may contact IMED's live customer support available from 7 a.m. - 5 p.m., PST Monday - Friday at (866) 599-4363.

What is reconciliation?
At the conclusion of the funded activity, grant recipients are required to submit a post-activity reconciliation online detailing audience participation, credit hours, etc. You will receive an email notification on the end date of your activity. If you do not submit an activity reconciliation within 90 calendar days of completion of your activity, you may be prevented from submitting additional grant requests to IMED or taking additional action on existing grant requests until it is properly submitted. If greater time is required, please contact IMED.

What if I have my own Letter of Agreement?
All IMED educational grants must abide by the Letter of Agreement issued by IMED. If you have any questions on the agreement terms, please contact IMED.

What do I do if my activity scope changes?
Please send an email to IMED with all the information listed below. IMED will follow-up if additional information is needed.

  • Reason for change in scope
  • Changes to scope of activity
  • Updated/detailed activity budget

I would like to use the Genentech logo on my activity materials. What do I need to do?
Please note that the Genentech logo should never be used without a signed logo license agreement in place with Genentech for that specific use.

Please contact IMED to obtain permission to use the Genentech logo and to begin the logo license agreement process. The logo license agreement should be between Genentech and the accredited provider. If use of the Genentech logo is not applied for or granted, please recognize Genentech in all materials that you produce and distribute in connection with your independent medical education activity in accordance with the terms of the Letter of Agreement by using a statement such as, "Supported by an educational grant from Genentech."

Permission to use the Genentech name is limited to recognition in connection with the funded activity outlined in the Letter of Agreement.

Miscellaneous Can I request a grant for an activity that has already occurred?
No, IMED does not fund activities that have already occurred. Requests for support must be submitted to IMED at least 60 days in advance of the live activity or enduring material creation.

Does previous support of my activity by Genentech influence future support?
No. Each grant submitted to IMED will be evaluated based on its individual merit. Please do not consider any grant request approved until you receive written confirmation from IMED and a Letter of Agreement has been signed by all parties.

Why does the application ask if there is an exhibit opportunity? Will the application be considered in a different light if there isn't one?
We ask this question in order to ascertain that exhibit fees are not included in the grant request. Grant funding may not be used for promotional exhibits. Exhibit opportunities may be offered to and paid for by other Genentech departments, including field sales. Whether or not an exhibit opportunity is available has no impact on the grant decision process. Providers are expected to follow ACCME guidelines regarding promotional exhibits held in conjunction with independent medical education events.

Will my Genentech representative be able to assist me with the application process or keep me apprised of my grant's status?
No. Only IMED personnel may assist you with your grant request. No other Genentech personnel may assist you with your request and only IMED personnel will be privy to information regarding the status of your request. Submission of your grant request by any Genentech personnel will lead to automatic rejection of your request.
