Maintain the record, arrange appointments, meetings, travel and accommodation as specified by Head of PDG CCO; Head of PDG CCO, APAC; and Country Head, PDG CCO China as apply.
Compose and type routine letters and minutes and memoranda from general instructions.
Assist in meeting organization and arrange business trips and expenses for Department Heads.
Centralize signatures by Department Heads.
Undertake administrative duties such as sorting and distributing mail, stationery ordering and filing files, etc.
Communicate with internal (local and global) and external (Travel agency, Hotel Customer, Key Opinion, Leaders, etc) relations on a professional level.
General Office Duties
Provide general office support to PDG CCO department staff (including but not limited to photocopying, distributing mail/faxes, scanning, faxing, preparing slides/overheads, coordinating document destruction, checking expense reports of local dept staff).
Organize courier services for documents/ goods pick-up.
Review departmental staffs’ claims to ensure these are in accordance to local policies and requirements.
Manage department stationery supply.
Manage department hardwares.
Make travel arrangements for departmental staffs in accordance with Roche SOP and policies.
Logistic support on Meetings and Teleconferences and Functional Training Events
Organize meetings/teleconference/net-meeting for department staff, as needed.
Support training logistic as apply.
Clinical Research Support (if apply)
Help to prepare documents for submissions to Ethics Committees.
Where required, assist in clinical research correspondence and faxing to sites.
Assist specimen sample export application, as apply.
Assist project tracking for local study team leader, if apply.
Support local function archiving activities.
Qualification and Experience:
Education and relevant working experience:
Completed junior university degree and at least 1 year working experience in Secretary field.
Requirements on specific subject(s):
Good working and proactive attitude.
Value importance of teamwork.
Good communication skill with both internal and external customers.
Demonstrated ability to communicate clearly and accurately in both written and spoken English and Mandarin Chinese.
Proficient in various computer applications including spreadsheets, email, word processing software and databases.
