The Position

Please note, this is a contract position for approximately 1 year.

This unique role will provide both interview scheduling and HR coordinating support, specifically as it relates to supporting the hiring and talent management plans for the Hillsboro Technical Operations (HTO) facility for Genentech. This position will report to the Head of Talent Acquisition and will be dotted line to Sr. HR Coordinator/HR Business Partner. The Staffing/HR Coordinator will often serve as the face of Genentech to the candidate.

 Job Responsibilities

Interview Scheduling:

  • Coordinate with Talent Acquisition and hiring managers the entire end-to-end hiring process, ensuring timeliness, follow through and strong attention to detail
  • Ensure all applicants are provided with timely updates with their status
  • Continually work to ensure a quality, professional, candidate experience
  • Regularly access confidential/sensitive information regarding candidate personal information and selection status
  • Work extensively in Google Calendar to coordinate interview scheduling for internal and external candidates
  • Create and distribute interview question packets for interview team
  • Arrange travel for external candidates and initiate relocation area overview requests
  • Provide candidates with details on the interview process and assist candidates with submitting expense reimbursement documentation
  • Serve as main point of contact for candidates while on site, greeting them and ensuring that the schedule is adhered to
  • Send out weekly New Hire/Transfer report to specific site distribution, including the Hillsboro Leadership Team
  • Coordinate Travel for New Hires to Orientation in South San Francisco, CA
  • Work with department administrative support on procuring work space when needed for new hires
  • Work with Talent Acquisition to continuously improve the end-to-end hiring process in terms of speed, quality and outcomes
  • Perform other duties as requested to generate reports and other analytic requests (time-to-fill, hiring and sourcing trends, etc.)

HR Coordination:

  • Perform other duties as requested to generate reports and other analytic requests within HR
  • Work with local HR team to coordinate Talent Review Meetings, Performance Review Calibrations, and Compensation Review
  • Assist in the coordination of Intern/College Program events
  • Provide local benefits coordination with local benefit providers (gym and daycare)
  • Facilitate communication with Genentech employees as it relates to benefit and wellness programs (onsite events, webinars, and roadshows)
  • Assist in the management of HTOs onboarding and new hire training program
  • Assist in the management of Genentech’s Reward and Recognition program. 
  • Act as a point of contact for HR Shared Services related questions and help solve employee questions/concerns.

Requirements

  • High School Degree is required
  • Minimum of two years in administrative role
  • The candidate must be: personable, proactive, self-motivated, flexible, team-oriented able to manage conflicting and changing priorities and perform in a collaborative team environment with minimal supervision
  • Strong organizational, communication and leadership skills are required as well as the ability to establish strong working relationships with other administrative assistants
  • Advanced word-processing and computer skills, including speed and accuracy, on Microsoft Word, PowerPoint, Excel and Internet browsers.
  • Experience in Applicant Tracking Systems (ATS), Human Resources IS, and database management systems preferred
  • Experience in Google applications such as gMail and Google Drive.
  • Experience in creating and editing presentation, graphics, and spreadsheets
  • Advanced writing skills that include composition, grammar, spelling proofreading, and formatting
  • Must be able to prioritize and meet project deadlines with no supervision.
  • Ability to work a flexible schedule
  • Ability to maintain confidentiality
  • Ability to work independently and be self-motivated
  • Outstanding organizational skills, including ability to manage several projects concurrently
  • Good judgment and initiative in resolving problems and making recommendations
  • Experience in HR or Staffing department strongly desired
